4. Data Storage and Security

Authentication data (your email address and account credentials) is managed by Firebase Authentication, a Google service.

Student and enrollment data is never sent to or stored on Room Autopilot's servers. All roster data — student names, birth dates, schedules, room assignments, and contact information — is processed entirely within your browser and stored only in your own Google Drive account (if you connect one) or in CSV files on your local device. Room Autopilot has no access to this data.

We implement appropriate technical and organizational measures to ensure a level of security appropriate to the risk of our authentication infrastructure.

5. Data Sharing and Disclosure

We do not sell, trade, or otherwise transfer your personal information to outside parties. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential.

8. Children's Privacy and COPPA

Room Autopilot is a business-to-business (B2B) software tool designed exclusively for use by childcare center operators, directors, and staff. It is not directed to children and is not intended to be accessed or used by children under any circumstances.

Room Autopilot does not collect, receive, store, or process any personal information belonging to children enrolled at your facility. All student records — including names, dates of birth, schedules, and room assignments — are entered and stored by you, the childcare operator, within your own Google Drive account or as local CSV files on your device. This data is never transmitted to or accessible by Room Autopilot's servers.

Because Room Autopilot does not receive or control student enrollment data, Room Autopilot is not a "data controller" or "operator" (as defined under COPPA, GDPR, and similar regulations) with respect to the children whose records you manage. You, as the childcare operator, are the data controller for your students' records and are responsible for your own compliance with applicable laws governing children's data, including the Children's Online Privacy Protection Act (COPPA) and any applicable state regulations.

Room Autopilot does not knowingly collect any personal information directly from children under 13. If you believe that a child has somehow submitted personal information to Room Autopilot through our website or account system, please contact us immediately at privacy@roomautopilot.com and we will promptly delete it.

9. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date at the top of this Privacy Policy.
